- USAV online registration system
- This year, USAV wants all regions to start using the online registration system
- Requires each individual to complete registration entries and process paperwork and send payment
- Will be mandatory starting in 2008-2009
- Since Nick worked with USAV directly, wants Nick to be present to discuss specifics about proposed system
- Contracts for 2009 and 2010 GCCC events
- Adults and Bids expense and income spreadsheet
- Shows "zero" for OVR-owned courts; suggest that the sheet should reflect amortized cost for the courts (what we paid, factoring depreciation)
- Will actually be "zero sum" since the exact amount will also be shown as income
- Budget sheet for other items paid in 2008 plus advance payments for 2010 events
- Trade-off arrangement with East Coast VB equipment offers a win-win situation for our big events
- Rental of our courts: minimum rental = 8 courts
Bob Price
- 4 clubs (juniors) fined for illegal uniforms
- 4 tournament bonds forfeited for improper tournament procedures

- one disciplinary action currently in appeal and will probably come to the Board in August

Micki Fox
- Growth of only 1-2 teams
- Large participation at Adult Regionals; partly due to advance notice about event dates
- NE Ohio situation: record number of facilities that want to run tournaments every weekend; but realistically, adult teams will probably only play 4-5 events per season; will limit sanctioned events to "share the wealth" equitably
- For 2009, adult tournament schedule (NE Ohio) is already set and will be announced by Aug 15
- For adults, relax policy regarding bringing coolers into facilities; not necessarily prohibited from bringing in food in gym bags
- Greater concern about relaxing cooler policy is potential for alcohol contraband
- Use of "Super Touch" for all men's competition (default); unofficially, allow use of "Pro Touch" if both playing teams agree
- Seeding of adult teams at Regionals (team roster lists only 5 players; picked up player from another team from club during season; at Regionals, this team struggled to get full roster and was seeded much higher than actual)
- Allowing adult player to participate both days of Adult Regionals; hot topic when a women's team took advantage of this policy

- approx 55 teams will participate at JOVC
- all girls teams have been verified through AES
- boys teams: verified all except Tool City
- adults teams: verification hampered by "pending" registration status for some roster members
- online registration process has helped reduce delinquent paperwork; dropped from over 300 to less than 25

- IMPACT certification clinic fees help drive HP program
- 60-day grace period to get IMPACT certification; problem areas primarily with boys teams; need to discuss further at August meetings
- Webinars help coaches satisfy this requirement
- Original 60-day policy was geared toward coaches who are registered in Nov/Dec (with first tournament in Feb)
- Consider put more teeth into policy; coaches may not coach in tournaments without IMPACT certification
Tom Kohl

- consider establishing mandatory TD training course required before anyone can be a TD; timing of class? (December?); discuss in August

Nick Nystrom
- web site upgrade: transition has gone smoothly; performance versus added cost; has not made any overly aggressive adjustments that would prohibit return to previous set-up; would like any feedback or comments about how web site is performing; have not experienced problems with access issues or slow response during peak periods
- Cost comparison: $599 per month (factoring all features and what we want, cost difference is probably $200 to $250 higher than previous)
- Motion #1 (Donahue/Herbert) that the OVR keeps the web site upgrade that increased the speed of the site; motion #1 carries 15-0
- JO player certification seems to have gone well; very few questions about online process; concern that player certification status is not being updated on web
- Officials encouraged to enforce certification status at Girls' Championships
- Oversight tools currently in place; just need to guide Gary to those links
- Discussed universal access to some data (e.g., all officials be able to see where other officials are assigned to work)
- A member cited concern about privacy issues and impact on personal safety
- Add to August agenda: election candidate profile and personal information that is publicized

- USAV justification is to minimize liability by having oversight of member registration; however, online process doesn't address all membership liability issues (coaches who aren't registered before coaching, players playing in events before registering); underlying control issue; attempt to address delinquent regions with respect to required reporting
- requiring individual action to complete registration could affect timely service to our members
- is there a win-win compromise possible? League of Regions (established several years ago) will meet in Atlanta to discuss options based on USAV requirement to be part of their online system
- Motion #2 (Hills/Donahue) that the OVR BOD does not support the USAV proposed mandated online registration system in its present form; motion #2 carries 15-0

- Non-rostered OVR members assisting with work team duties (e.g., parent who is OVR player and offers to be R2 or LJ when child's team scheduled to be work team)

- Expressed concern about negative trend in group dynamics exhibited by various members toward each other; has observed nit-picking and criticizing and appearance of constantly scrutinizing what other people are doing; need to trust each other to do our respective jobs professionally
- Not sure of source for stressors (explosive growth of region without commensurate growth of staff)
- We need to do a better job communicating what is expected of Directors and staff (ancillary duties with respect to assisting with setting up and operating OVR events)
