Tournament Information

Thank you for your interest in Massillon Recreation Center/Club Extreme tournaments. Teams may enter our tournaments by sending an email to Kathy Lightfoot requesting entry confirmation and then sending the entry fee ($235), team ID#, team contact name, phone, e-mail address and address along with the coach’s name.

Enclose a check for $235 made payable to City of Massillon.  Please include your team(s) OVR number and tournament date(s) with your payment. Checks should be mailed by January 6th, 2023. Club Extreme & the Massillon Rec Center/City of Massillon reserves the right to withdraw any team if they have not paid by postdate 1/6/23. Contact Kathy if an issue arises at vbpal1.kml@gmail.com .

Team rosters will be downloaded from the OVR website the week of the tournament. Please ensure your coach(s) are IMPACT, Concussion & Safesport certified and up to date.

Post – Pandemic Safety Measures

  • Everyone should do a self-health assessment and not participate if ANY symptoms of COVID-19 exist (Fever, chills, cough, shortness of breath, difficulty breathing, fatigue, body aches, headache, new loss of taste or smell, sore throat, congestion, nausea, vomiting, and/or diarrhea).
  • If you have had close contact with someone who has tested positive for Covid-19, please adhere to recommended guidelines for quarantining.
  • Face coverings are not REQUIRED. Currently, NO restrictions for spectator per player numbers within the facility.

 

General Facility Guidelines & Rules

 

  • Doors of Recreation Center Opens at 8am. Please enter via the South Doors of the Recreation Center.
  • NO ADMISSION is charge for the tournament facility. Day Passes are available should spectators like to use the rest of the facility.
  • Coaches’/Officials’ meeting will be at 8:30 AM in the front lobby and will take place prior to the start of the tournament. Coaches must attend to verify & sign their roster. Officials are required to be present. 
  • Tournament starts promptly at 8:45 A.M. sharp.
  • BALLS & Carts are provided, kindly leave yours in your cars or at home.
  • NO CHAIRS permitted in gymnasium. There is seating available. NO personal chairs are permitted in the gymnasium. Only those teams currently playing in a match are permitted on the gymnasium floor. Each team will clean up the sidelines after their match.
  • CAMPING: Player’s bags and equipment are not allowed in the competition area nor will teams be allowed to camp in the competition area/gym.
  • Designated camping areas will be provided. Community Room A & B are available for camping. Please clean your camp site up prior to leaving. No teams will be allowed to camp out in the hallways or gymnasium during the tournament.
  • Teams leaving a camp area littered or failing to perform their officiating duties will be reported to the OVR for possible sanctions.
  • Ball Handling and Horse Play in the camping area is not permitted. The use of any ball outside of the gymnasium is PROHIBITED while inside the building.
  • CONCESSIONS are available in Community Room A
  • NO outside Food or Coolers will be permitted within the facility. Concessions will be provided at the tournament site. Keep all coolers in cars.
  • FOR SAFETY & INSURANCE PURPOSES: the court & team sideline zones are restricted to players, officials and OVR/USVA registered individuals.
  • We ask our teams and family members to cooperate with the Recreation Center staff through the duration of the tournament.

·        All teams advance. All teams must be ranked within their pools based on match percentage first. For any ties, use the tie-breaking procedure below. Top two teams in Pool AA and BB play in Gold tournament. Third and fourth place teams in Pool AA and BB play in Silver tournament. Top two teams in Pool CC and DD play in Bronze tournament. Third and fourth place teams in Pool CC and DD play in Copper tournament.

·        Seeding Tie-breaking: Since all teams advance to playoffs, ties will not be decided by playing a set.

o   1. If 2 teams from the same pool are tied, their head-to-head match determines their order of finish.

o   2. If 3 teams from the same pool are tied after match and set % and point differential have been calculated, a coin flip will determine their order of finish.

  • Pool play is the best of three sets with rally scoring. Each non-deciding set will be to 25 points with a minimum two-point advantage (no scoring cap.) The deciding set, if needed, will be to 15 points with a minimum two-point advantage (no scoring cap.)
  • Only USAV members may be in the playing area to assist with warm-ups. All warm-ups will use the 2-4-4 format; 2-minutes shared court, 4-minutes Serving Team, 4-minutes Serve Receiving team. Teams may request the referee to tell them when to serve, usually one minute.
  • All teams advance. All teams must be ranked within their pools based on match percentage first. For any ties, use the tie-breaking procedure above.
  • All first-place and second-place teams to the Gold playoffs. All third-place teams to silver and fourth-place teams to the bronze playoffs. Playoff positions on the tournament brackets will be based on pool finish to avoid teams from the same pool playing each other in the first round.
  • We award medals to 1st place and 2nd place team – Gold Bracket.

 

Team/Tournament Cancellation:

  • A team canceling after the entry deadline, fourteen [14] days prior to the tournament date, will forfeit its entry fee.
  • A team canceling prior to the entry deadline does not forfeit its full entry fee if a paying replacement is found at cost or discounted price. A team canceling from this tournament to enter a different tournament will forfeit its entry fee in its entirety.

 

Required Cancellation/Team withdraws due to COVID19 restrictions or in climate weather:

  • All team entry fees, in FULL, are required to be returned in a timely manner.
  • When a TEAM must withdraw from an event due to required quarantine/cancellation, the following policy will be enforced. As tournament hosts, we will make every effort to replace the team withdrawing and refund of entry fee will be made possible.
  • A PARTIAL REFUND may result from this effort. As Tournament Directors, if needed we will offer a “reduced entry fee proposal” to entice a late entry. The difference in cost must be returned to the withdrawn team.

 

Inclement Weather or Unforeseen Complications, i.e., power outage, safety situation, etc.:

  • If Stark County is under a Level 3 Emergency, the tournament will be canceled.
  • For any reason, the tournament is canceled, a notice will be displayed at the OVR Junior Tournament list. Club directors and/or coaches and officials will be contacted (phone, email) as soon as possible.
  • Entry fees will be returned within a timely manner after a cancellation.
