Tournament Information

Our tournament on March 6th will be allowing only 4 spectators per team.  We have a full 12R division with 12 teams and a full 14R division with 12 teams.  Ohio Hamilton County Health Department is allowing indoor sports facilities to have 25% maximum indoor capacity.   Because we will have 24 teams in our facility at one time that will allow us to only have four spectators per team to stay within the 25% maximum capacity of our facility.  We are thankful we are able to host volleyball tournaments at our facililty but we also take the Covid guidelines and protocols seriously for the health and safety of everyone that enters our facility.  Staying at the 25% maximum capacity will only allow us to have four spectators per team for this tournament.  An email will be sent to all coaches and directors for the teams that are entered with more detailed information on how the spectators will be recorded for each team.  

Thanks for your undertstanding as we at OPVC and RGSA want to make this a great tournament while also keeping everyone safe and healthy and stay within the Hamilton County Health Department capacity protocols for indoor sports facilitiles.

NOW ALLOWING ONE SPECTATOR PER PLAYER BUT WITH THE FOLLOWING PROTOCOLS:

 Spectators will only be allowed in the facility when their team is playing.  Once their team is done playing they have to leave the facility and wait in the parking lot until their team is warming up to play again.  Their coach can text them when their team is warming up to play.  Spectators also need to be outside of the facility when their team is officiating.  They can only be in the facility when their team is playing and sitting socially distance on our bleachers.  All the players of a team can stay in the facility when officiating even if they personally do not have a responsibility until the next set.  Parents can quickly get something from our concession stand if needed and take it outside.  We should only have 20 spectators on each court when a match is being played.  If you have more then 10 players on your team that is fine to still have one spectator per player because some teams do not have 10 on their roster.  The Covid Chaperone counts as a spectator.  We will have a front door adult monitor to check wristbands coming into our facility.  Parents are not allowed to switch out with another parent during the day.  The same person who’s name we write down next to the player needs to be the same person all day NO EXCEPTIONS. 

 

The schedule for Spectator entrance is below in this document.  They each have to pay $5.00 cash for gate fee to enter and to get wristband.

 

After Pool Play Spectators need to wait outside until their coach contacts them about the bracket play schedule and when their team is playing.  Players can stay inside and wait.

 

HI Coaches and Directors,  Below is some very important information for our tournament not only general tournament information but COVID protocols in our facility. Please forward all this information to your parents.

The pools are posted on the OVR Website.  

We do have WiFi if a parent wants to video tape or stream the matches.  We do not have an in house streaming service set up.  The wifi password is Basketball1234 and it is posted on the wall of our facility.

A Covid Waiver is sent to all coaches and this has to be turned in when you check in your team for every player and coach.

NO OUTSIDE CHAIRS WILL BE ALLOWED NO EXCEPTIONS

No outside chairs will be allowed in our facility without exception.  We have bleachers and our own chairs for spectator seating that will be spaced out with social distance markings that spectators will have to follow during the tournament.

OTHER VERY IMPORTANT INFORMATION:

Masks/face coverings willing be required to be worn at all times within our facility.   Exceptions are; athletes/coaches/officials who are stationary and socially distant while eating and/or drinking, players actively participating in competition or warmups.  Players and coaches on the bench will need to be covered With a face mask. (All people entering the facility will have to wear some type of face covering without exception. Face masks must fully cover nose and mouth.  While walking around our facility everyone will need to have a face mask on.  When players are not playing in a match they need to have a face mask on.

 

ONE bag is permitted per person entering. No exceptions. (A ball bag/cart does not count as an additional bag) Each player is allowed ONE bag at entry. Anything the player needs must be kept in their bag including water bottles, sanitizer, towels, shirts, phones, etc. Outside coolers, chairs, signage, and food will not be permitted, if not able to be kept in the bag. No Blankets on the floors and No Camping. Players will need to bring their bag with them at all times.

 

We have 12 teams registered for each age group and will be using three courts for each age group.  We have a total of 8 courts in our facility. For Players that are in the facility waiting to play they will be on court 4A for all 12U teams and court 3A for all 14U teams. ABSOLUTELY NO WARMING UP OR BALL HANDLING ON OUR TWO OPEN COURTS. The teams/players that are officiating will use a different area to sit which will be explained. The 12R division will be on courts 4B, 5 and 6 which are to the left as you walk into our front doors.   The 14R division will be on courts 3B, 1 and 2 which are to the right as you walk into our front doors.

The four team pools will play best two out of three sets. Here is the order of play for the first matches in the morning:

The first match will start at 8:30am.  Doors will open at 7:20am.

We are going to have an order of when teams and spectators enter our facility so it is very important you make sure your coaches and parents follow this order of entry.  We are going to have some teams enter from our front doors and some teams enter from the West side of our building.  We have a door on this side of our building which is the West side if you are facing the front of our building.  The side with the big basketball on the front.  All coaches need to make sure they have all their required certifications done in order to coach at this tournament.  I have coaches and chaperones that have a red warning by their name on the official roster so if you have a red warning by your name on the roster you need to bring your certification with you for proof that you have completed all your certifications.

All teams need to have our covid waiver signed and turn in at check-in.  The waiver is only for players and coaches.  We do not need the waiver for spectators.  If your team attended one of our other tournaments this year and turned in waivers at that tournament you do not need to turn in another waiver at this tournament.

 

12R Teams Players and Coaches and one covid chaperone will enter our facility from the garage door on the West side of our building which is the side with the huge picture of a basketball on the outside of our facility.  The covid chaperone has to be listed on the official roster with all certifications completed or they have to come in as a spectator NO EXCEPTION. We have a big garage door on the side of our building with picture of basketball that we will be using for all teams in the 12R tournament.  Below is the schedule for all teams to enter our facility.  All players, and coaches have to enter together and at the same time for each team.  If there is a team in front of you that is not finished please wait until the team in front of you is completely done checking in.

Only players that are listed on the official roster will be allowed in, one or two coaches (only if they are listed on the official roster) and one chaperone (only if they are listed on the official roster).  This tournament does not require you have a team chaperone.  A tournament staff member will be checking teams in and will be taking temperatures and marking down everyone on your team’s roster.

 

Spectators CANNOT switch with another adult throughout the day. NO EXCEPTION! All adults will have a wristband that has to be on their wrists at all times.  Spectators have to leave the facility after their team is done playing and can come back when their team is warming up to play again. We will be monitoring the front doors and also will be checking names and wristbands when a spectator comes back into our facility. If your team has a covid chaperone listed on the official team roster that adult does not need to pay the $5.00 gate fee BUT they are counted as a spectators.  All spectators need to pay the $5.00 gate fee if they are not a covid chaperone.  Cash only for the gate fee.  WHEN YOUR TEAM IS NOT PLAYING and if your team is officiating YOU NEED TO COMPLETELY EXIT THE PLAYING COURT and go outside.

WHEN YOUR TEAM IS OFFIATING THERE WILL BE A SPECIFIC PLACE FOR THE OFFIATING PLAYERS TO SIT (for those players that do not have an immediate officiating responsibility).  For Pools on courts 1, 2, 5 and 6 the officiating players area will be against the back wall of those courts.  There will be signs to designate this area.  For pools on courts 4B and 3B the officiating team will be designated a bleacher just for the officiating team at that time.  A sign will be above that particular bleacher. 

 

ALL PLAYERS NEED TO KEEP THEIR BACKPACKS AND WATER BOTTLES WITH THEM.  THE TWO EMPTY COURTS FOR PLAYERS AND PARENTS CAN SIT AND WAIT TO PLAY AGAIN BUT WHEN THEY DO PLAY THEY MUST TAKE ALL THEIR PERSONAL BELONGINGS WITH THEM.  THERE IS NOT “CAMPING” LEAVING ITEMS. 

 

NO OUTSIDE FOOD OR DRINK ALLOWED IN OUR FACILITY - NO OUTSIDE COFFEE CUPS

WE HAVE A FULL CONCESSION STAND WITH HEALTHY OPTIONS FOR PLAYERS AND SPECTATORS

We will accept Cash at our Concession Stand!!

 

·      WE WILL HAVE FRESH COFFEE AND MORNING FOOD AS WELL AS PIZZA AND OTHER Healthy food options throughout the day.  We will have fruit and muffins as well.  

·      We will have a full concession stand with healthy food and drink options.  Our drinking fountains are covered and will not be in use.  No outside food or drink is allowed in our facility.  Parents/coaches will NOT be allowed to bring coffee cups into our facility in the morning. 

·      OFFICIATING - We will follow the OVR protocol for officiating matches per Covid.  All teams need to bring their own pens and pencils for the officiating table none will be provided.

·      We will have social distance designated areas for players/coaches to sit while their teams are not playing and/or while they are officiating.  

·      All teams will need to use their own volleyballs for warm-up without exception we will not supply warm-up volleyballs.  Even though we have open courts to space out because of Covid there will be absolutely NO warming up or ball warm up on our empty courts. 

·      NO COACHES MEETING. We will not have a big group coaches meeting.  I think all the information is on this document.  I will be going around to each court and will quickly meet with each coach on that court to answer any questions the coach might have and to make sure each coach knows where to go when team is officiating and where to go when their team sits. 

It is very important you send this information to all your coaches/staff and parents. We are glad we will be able to host volleyball tournaments at our facility but the health and safety for all players, staff, coaches and spectators is our number one concern. We have all of these things in place to avoid large crowding of people at one time trying to keep social distance because of Covid.  Coaches I am relying on you to help with your parents and players following these rules for this tournament.

 We will follow the tournament pool play schedule as set by the OVR for the number of teams in the tournament

Tournament bracket immediately follows the conclusion of pool play.

We will charge $5.00 gate per OVR guidelines.  Once we get closer to the tournament date an email will go out to all club directors and coaches with detailed information about COVID procedures and protocol that we will implement in our facility and for all players/caoches and spectators.  Full transperency that we are taking Covid into consideration and depending on the current Covid situation in the state of Ohio the format the tournament schedule might be adjusted in regards to pool play and bracket play and also number of spectators allowed in our facility.  

Facility Information

Seating is provided with bleachers on all the courts. We do not allow a lot of outside chairs and only outside chairs can be on the cement area and not on the actual court surface.  NO CAMPING NEAR THE COURTS. Very limited Camping space will be available for the teams. Coolers are not permitted in building but may be left outside.  We will offer a full concession Stand with a variety of healthy food choices.  

 

Team/Tournament cancellation:  Per OVR regulations- a team canceling after the entry deadline, 14 days prior

to the tournament date, will forfeit its entry fee.  A team canceling

does not forfeit its full entry fee if a replacement is found.  A team canceling from this tournament to enter a different tournament will forfeit its entry fee.

 

If Hamilton County is under a level 3 Emergency, the tournament

will be canceled.  For any reason the tournament is canceled, a

notice will be displayed at the OVR Junior Tournament list.  Club

directors and/or coaches and officials will be contacted (phone,

email) as soon as possible.  Entry fees will be returned.
